Here is your opportunity to spread the word about an upcoming event. The calendar is hosted by MyCalendar.net. In order to post information about an event, you must do two things: (1) Sign-up with MyCalendar.net and agree to abide by their rules; and (2) Send an e-mail to mbu@meritbadge.com requesting a Registration Password. Once you have received your password, you will be able to add your event.
After
you have registered, go to the calendar and click on the
button. The window shown at the right should pop up.
The Event Title should be the city and state where the event will take place.
Make sure you include accurate times and dates in your information. Also, please click the boxes next to Show Starting Time and Show Ending Time.
The Event Description should be short, sweet, and to the point. Useful information would include merit badges offered, admission price, late fees, sign-up forms, driving instructions, etc.
Make sure the Author's Email Address is accurate so people will know who to get in touch with for more information.
The Related Web Site link is probably the most important information you will provide. People will probably want more information than you can include in the calendar. Make sure they can find it by filling this in. I also recommend that after you complete the form, you go back and check to make sure this link works.
Once your finished filling out the form, press the
button to add your event to the calendar.
Remember to check your work!
The key to any good event is planning. Plan out your event well in advance and develop a promotional plan as part of this process. Here are some ideas you can work into your plan.
|
Use This Calendar (after all, it's free)
|
Set up a web page explaining details about your event (time, place, merit badges offered, admission price, sign-up forms, contacts, etc). Make sure you include your web page's address in the MBU calendar.
|
Speak at Roundtables and other Scout leader meetings.
|
Write an article for the council and district newsletters. Depending on the size of your event, this may include more than one district or even more than one council.
|
Make personal contacts with Scouters you know. |
Promotion is like an avalanche. It should start of slow and build to a dramatic end. You should complete your planning and start your promotions about six months before the event. Your first written and verbal contacts should be just mentions. Cover the main details (time, place, and badges offered) then sit down and shut up. If they want to know more, they'll ask.
Each month, add a little more information then make the big push about three months out. Emphasize the need for pre-registration. Knowing how many are coming really helps with the last minute details. If they don't register at least two weeks in advance, there should be some sort of surcharge (such as $5 per Scout) to offset the expense of covering for people you don't know are coming or not.
